Job Description
As a Project Manager, you are responsible for effectively planning, managing, and delivering projects within set deadlines, budgets, and quality standards. You play a key role in structuring and streamlining processes and serve as the central point of contact for internal teams. You monitor progress, ensure clear communication, and maintain financial administration accurately.
You work with Monday.com for project planning and for time tracking, ensuring all project actuals are recorded correctly. Additionally, you act as the connecting link between teams and external stakeholders when necessary to successfully complete projects.
RESPONSIBILITIES
1. Project Planning & Workflow Management
Oversee and manage project schedules in Monday.com for all clients.
Ensure clear deadlines, priorities, and an organized workflow.
Actively monitor and identify bottlenecks and proactively resolve them with the team.
Optimize processes and workflows to improve efficiency.
2. Project Finance & Time Tracking
Manage project financial administration:
Ensure accurate recording of actuals and budget vs. realization.
Track expenses and invoicing per project.
Implement and manage time tracking on Monday.com
Set up structures for time registration.
Ensure the team correctly logs and reports hours.
3. Stakeholder Management & Communication
Engage with clients when necessary and ensure clear communication about project progress and expectations.
Coordinate and delegate tasks within the team based on planning and project objectives.
Regularly align with internal teams and external parties when required to ensure smooth project execution.
Communicate transparently and promptly with all stakeholders regarding planning changes, risks, or project status.
4. Risk Management & Problem Solving
Anticipate and manage risks specific to creative projects, such as shifting client expectations, scope changes, or last-minute creative revisions.
Detect potential bottlenecks in production timelines, resource allocation, and approvals, addressing them before they impact delivery.
Identify and resolve creative execution challenges, such as unforeseen technical limitations, asset delivery delays, or vendor issues.
Ensure proactive issue resolution by fostering open communication between creatives, producers, and clients.
Develop contingency plans for tight deadlines, creative roadblocks, and budget overruns to maintain project viability.
5. People Management & Team Coaching
Actively contribute to a positive team culture and strong collaboration.
Ensure a clear division of roles and task responsibilities within the team.
Encourage accountability and ownership, ensuring team members take responsibility for their contributions to the project.
Coach team members and support their professional growth and development.
6. Reporting & Documentation
Provide regular project updates and financial reports to stakeholders and management.
Document project best practices and lessons learned to optimize future projects.
Set up and maintain a knowledge database with standardized processes, templates, and workflows.

WHAT WE EXPECT
At least 3 years of experience as a Project Manager or in a similar role.
Experience with Monday.com and financial project administration.
Strong organizational and communication skills.
A proactive and solution-oriented mindset, with attention to detail.
Experience with client contact and team coordination.
Knowledge of Provokel or other time tracking systems is a plus.
Experience in a creative or digital environment is an advantage.
